Information we process
Avertaq may process account identifiers and email addresses; tender, amendment and company evidence documents uploaded by an authorized user; extracted text, findings, evidence matches and review decisions; and limited technical records such as timestamps, request metadata, errors and security events.
Why we process it
We use this information to authenticate authorized pilot users, provide the requested tender-review workflow, restore saved work, enforce pilot limits, protect the service, troubleshoot failures and respond to support or privacy requests.
Business customer and Avertaq roles
For business-customer workspace content, data-protection roles depend on the processing activity. Where Avertaq processes personal data contained in customer tender or evidence material only to provide the requested service on the customer's instructions, the business customer will generally determine the purposes of that processing and Avertaq will act on its behalf. Avertaq may separately determine purposes for limited account administration, service security, abuse prevention, legal compliance and support records. Paid-service data-processing terms will describe these roles in more detail before commercial use is enabled.
Document handling and retention
The current pilot workflow is designed to keep uploads private and remove temporary raw files after processing. Structured findings, extracted review data and saved workspace decisions may remain while the pilot account is active so the user can restore and review the tender. We do not publish a fixed post-pilot deletion period until the corresponding application, backup, log and provider deletion mechanisms have been verified. Users should only upload material they are authorized to process.
Service providers and disclosure
Avertaq uses infrastructure, hosting, database, authentication and other service providers acting on our behalf to operate and secure the service. We do not sell personal information, use uploaded documents for advertising, or disclose workspace content to advertisers. Information may also be disclosed when required by law or necessary to protect users and the service. A current subprocessor register and transfer details will be maintained for paid B2B use before commercial processing is enabled.
Security
The service uses encrypted network connections, authenticated access and private server-side controls. No online system can guarantee absolute security, so pilot users should avoid uploading documents they are not permitted to process and should report suspected account compromise promptly.
AI assistance and human control
Avertaq provides decision support. Automated extraction and matching may be incomplete or inaccurate. Users remain responsible for reviewing source documents and making final compliance, legal, commercial and submission decisions.
Retention and deletion requests
We retain account and saved workspace data only for as long as needed to provide the pilot, meet security or legal requirements, and resolve disputes. An authorized user may request deletion of their pilot account and associated saved workspace data. Limited records, including security records and records needed to establish or defend legal claims, may be retained where legally required or reasonably necessary for those limited purposes.
